Faculty and Staff Support: Calendaring

Meeting Maker is a third party calendaring system which provides both personal and group time-management. Meeting maker can be used to manage the schedules of individuals, rooms, and resources such as projectors or other loaned equipment. FAS IT provides Meeting Maker to full-time faculty and staff affiliated with the Faculty of Arts and Sciences at no cost to the user. Other affiliates may be added to Meeting Maker at the costs listed later in this document. Because of sensitive data that could be accessed through Meeting Maker, FAS has established a policy that students cannot be granted access.

  • Meeting Maker is available for Mac and PC computers and is compatible with most OS environments including Solaris and Linux.
  • All clients are cross compatible with each other.
  • Palm OS is also supported on a best-effort basis. Technicians are also trained to make best-effort support of transferring calendar data from other software into Meeting Maker whenever possible.

Meeting Maker Account Management

Requests for new accounts can be sent to the general FAS IT Service Desk account at help@fas.harvard.edu.

Meeting Maker Historical Data

FAS Information Technology retains the right to purge data older than two years when performing upgrades to the Meeting Maker server. Prior to purging, we will notify users and provide an opportunity and strategy for saving data locally. As the purge is not a hard and fast rule, requirements to keep data online beyond two years are negotiable.

Training and Consultation Services

FAS IT provides basic training for Meeting Maker. Please contact the FAS Service Desk at Help@fas.harvard.edu to arrange for training sessions.

Because Meeting Maker provides multiple methods of functionality, consultation services for Meeting Maker are also available upon request. A member of FAS Information Technology will help evaluate the needs of the participating department and make recommendations on the best implementation of Meeting Maker.

Quality of Service/Expectations and Response Time

Requests for accounts or other types of administrative assistance will ordinarily be handled by the end of the next business day. If it is determined by FAS IT staff that the scope of the request may require more time, users will be contacted and provided an estimated completion time and date.

FAS Information Technology considers the Meeting Maker calendar service to be 7 x 24 critical. This service is shutdown for back-ups Monday through Friday at approximately 1:00 am for a short period but is otherwise normally available. Scheduled upgrades or downtimes will be announced through the calendaring-l list. The calendaring-l list is an email list that sends out Meeting Maker information consider relevant to users with Meeting Maker accounts. All new Meeting Maker accounts are subscribed automatically to the list. Users who already have Meeting Maker accounts can contact the Service Desk to verify that they are subscribed to the list. Historically, upgrades have been performed approximately every 12-16 months. Test accounts on our non-production test server will be provided to designated departmental contacts in the event of a new version being available. Any concerns on the part of the department or the other designated testers will be resolved or addressed prior to making any upgrade.

Unscheduled downtimes or intermittencies may occasionally happen and as a critical service, receive the full attention of the FAS IT staff. If Meeting Maker is not responding, please check with the FAS IT Service Desk at 5-9000 as to its status.

Cost of Service

Meeting Maker is available to FAS faculty and staff free of cost. Non FAS affiliates which may require an account due to interaction with FAS will be billed for each account requested. The cost of each account will be $22 for initial setup and a yearly fee of $7 per account for maintenance.
